Leasebook helps landlords keep track of rent, bills and expenses, and lets their tenants see what they owe. This page explains what we store, why, and who else handles it.
What we store
- Your login. Your name and email address, which come from Google or from the email and password you sign up with. Passwords are held by Google Firebase, never by us.
- What landlords enter. Properties and units, tenants' names, email addresses and phone numbers, leases, rent and other charges, payments, utility bills, expenses and private notes.
- Account settings, such as currency, timezone and whether reminder emails are on.
- Rental listings. For a unit a landlord chooses to list: the asking rent, its details and description, and the property's address and place on the map.
- Messages to landlords. When you contact a landlord about a listing: your name, email, message and, if you give it, your phone number.
- How the app is used. Which pages are opened and which actions are taken (such as adding a lease or searching for rentals), when, and by which login if you are logged in, along with the interface language, whether it was on a phone, the site that linked to us and, if you came from one of our ads or another tagged link, which campaign and ad it was. Never what you type or the records you enter. If you aren't logged in, a visit is counted but not linked to your other visits.
- The days you use the app. One record per person per day they use it, so we can count how many people use the service.
- Assistant conversations, when the assistant is used: your questions, and the records it looks up to answer them.
Who sees what
- A landlord sees everything in their own account and nothing in anyone else's.
- The people who run Leasebook can see who has signed up (names and email addresses), each landlord account's plan, and counts such as how many properties, units, leases and tenants it has. They don't see tenants' names, ledgers or anything else a landlord records through these screens.
- Listings are public. Anyone, without logging in, can see a listed unit: its asking rent, details and description, the property's name and address, and the landlord's account name. Tenants' names never appear in a listing. A landlord can take a listing down at any time.
- A message about a listing goes to that landlord by email, with your email address so they can reply.
- A tenant who accepts an invitation sees only their own lease: its charges, their share of utility bills, and their payments. They never see bill totals, the landlord's expenses or private notes, or other tenants.
Why we use it
To run the service: to sign you in, show the right records to the right people, charge rent each month, publish the listings landlords choose to list, answer questions put to the assistant, and send the emails people ask for: invitations, reminders and messages to landlords. We also count how the app is used, to see what works and what to improve; that record stays with us. We do not sell data, show ads, use third-party tracking or analytics cookies, or share usage with analytics or advertising companies.
Cookies and browser storage
One cookie keeps you logged in. It can't be read by scripts and is removed when you log out. Two more remember your interface language and whether you last used the landlord or the tenant side. If you arrive from one of our ads or another tagged link, a cookie keeps which campaign and ad it was for up to 7 days, so that signing up is counted for that ad; it holds nothing about who you are, and is removed when you sign in. Google Firebase keeps your sign-in state in your browser's storage, and the app briefly keeps short confirmation messages there between pages.
Who else handles it
- Cloudflare runs the app and its servers.
- Neon hosts the database.
- Google Firebase handles signing in.
- Resend delivers emails, when email is switched on.
- Anthropic runs the AI model behind the assistant, when the assistant is switched on. What you ask, and the records it looks up to answer, are sent to it.
Each handles data only to provide its part of the service.
Landlords and their tenants' details
A landlord decides what to record about their tenants and is responsible for having the right to do so and for keeping it accurate. Tenants with questions about their records should ask their landlord first.
How long we keep it
For as long as the account is in use, except the record of how the app is used, which is deleted after 13 months. Archiving a property or unit hides it but keeps its history, so past rent and payments stay correct.
Getting a copy, and deleting it
You can download your own data, and landlords everything in their workspace, at any time: under Settings for landlords, and at the bottom of the portal for tenants. You can also delete your login yourself there. Deleting it removes your login, your sessions and the messages you sent about listings, along with any workspace that has no other owner and everything in it. A landlord can delete their workspace on its own the same way. Deletion is immediate and can't be undone.
When a tenant deletes their login, their landlord keeps their own record of the tenancy (the name, contact details and payments they entered), as landlords need it for their accounts. Ask your landlord about those. The sign-in record held by Google Firebase is removed too when you delete your login shortly after signing in; otherwise it holds only your email address, and we remove it on request.
